Affiliations for Constituent

Overview of NA35
If a constituent is affiliated with a particular officer list or mailing list, you can view this information in the Affiliations window of the constituent record. Follow the instructions below to access this screen.
- From the Name/Address Inquiry screen, look up a constituent record
- Click the Relationships tab. You will see the Affiliations button on the toolbar:
Click the button. You will now see a screen similar to this one:
You have the option of viewing either the Members view or the Committee view:
- The Committee View displays all of the current members of the committee, if the constituent you are looking at is a committee
- The Members view displays all committees to which the constituent belongs
Adding a New Affiliation
To add a new affiliation, click the New button on the toolbar. You have two options:
Select the type of affiliation you wish to add.
New Officer List Entry
If you selected Officer List Entry, the screen will enable like so:
The following fields are available:
Field | Description |
---|---|
PIN | The PIN will populate with the constituent PIN you are working with |
Address | The system will populate the Address field based on the constituent you select. If there are more than 1 address records attached to the constituent, all addresses will display and you can select the one you wish to use |
Position | You can enter the constituent's position code or click the list icon to select from a list of active position codes in the system |
Quantity | Enter the number of pieces that this constituent should receive with each mailing |
Represents | Example |
Start date | Enter the date that the constituent started their position. You can type it in mm/dd/yyyy format or click the calendar icon to select the date |
End date | Enter the date that the constituent will complete their position. You can type it in mm/dd/yyyy format or click the calendar icon to select the date |
Continue sending mail after term ends | If this constituent should continue to receive mailings even after their term ends, select this box. Otherwise, leave it unselected |
When you have finished entering the information, click Save.
New Mailing List Entry
If you select New Mailing List Entry, the screen will enable like so:
The following fields are available on this screen:
Field | Description |
---|---|
Mailing List | Enter the mailing list code or click the list icon to select from a list of active mailing lists in the system |
Address | The system will populate the Address field based on the constituent you select. If there are more than 1 address records attached to the constituent, all addresses will display and you can select the one you wish to use |
Quantity | Enter the number of pieces that this constituent should receive with each mailing |
When you have finished adding the information, click Save to retain the changes.
Editing an Affiliation
To edit an affiliation record, click once to highlight and then click the Edit button on the toolbar. This will enable the fields for modification:
When you have finished making your changes, click Save.
