Overview of NA04
The Prefix file allows your organization to set up and maintain the prefixes that can be selected to precede names in address scenarios, such as labels or merge forms.
To access the Prefix File Maintenance screen:
- Double-click Name/Address
- Double-click Setup
- Double-click Prefix File Maintenance. You will see this screen:
Please note that what you see on this screen will depend entirely on what modifications your organization has made to the prefix file.
To add a new prefix, click the "Add" button on the toolbar. This will activate the fields for editing:
The following fields are available:
Field | Description |
---|---|
Prefix | Abbreviation representing this prefix in a select list such as the one used in a constituent record. “Rev” might be used to represent the prefix “The Reverend,” for example |
Address | The complete prefix. Numbers may be used in this field to indicate how individual names should be integrated into the text string, as follows:

Gender | Gender associated with the prefix, if applicable. “M” or “F” |
Salutation | How the prefix should look when used in a salutation. Salutations are used in correspondence such as letters to personalize them |
Priority | Number used to determine whose name prints first when multiple names are to print on correspondence, labels, etc. Used for letters or labels addressed to a husband and wife, a brother and sister, domestic partners, etc |
Address abbrev | How the prefix should look when used in an address or name/address labels. Numbers can be used to represent name information in the same manner as described for the Address field above |
Available to web applications? | If this box is checked, the prefix will be able to be selected by web application users |
When you have entered the necessary information, click Save to retain your changes.
