Location/Room Setup
Overview of FA03
A critical component of fixed-asset record keeping is tracking the location of each fixed asset. DDI’s Fixed Assets system enables your business to do this within each individual asset record. But you must set up a representation of your business and all its available locations first. Location/Room Setup allows you to establish the locations where your organization’s fixed assets may reside. This setup function also offers you the option to move all fixed assets at one location to a different location at one time, rather than having to move them all individually.
- From the DDI Connect main menu, double-click Fixed Assets
- Double-click Setup
- Double-click Location/Room Setup. You will see this screen:
From this screen, you can set up new location codes, move one or more assets, add a new room, or edit an existing room code.
Setting Up Location Codes
To add a new Location Code, click the Loc button on the toolbar. You will see this screen:
Click the New button on the toolbar. You will see this screen:
Field | Description |
---|---|
Code | Enter a short alphanumeric code |
Active | If checked, this code will be active and available for selection |
Description | Enter a description for this code |
Security | This function utilizes the DDI-Connect Security codes. For a thorough understanding of how security works within DDI-Connect, we recommend you reference the Security document located here: Security Function Maintenance
To set security on a specific code, you would enter the requirements in this format: !NA/7 or #NA. These are just examples...you can use whatever security function you like in order to restrict access to a code. |
Numeric value 1 | This field is utilized by third party external software and should only be modified by DDI staff |

When you have finished entering the information for each field, click OK to save your changes and add the new code to the list.
When you have finished adding the location codes, click Exit to return to the Location/Room Setup screen.
Moving Assets
To move all assets to a new location, click the Move button on the toolbar. You will see this screen:
The following fields are available on this screen:
Field | Description |
---|---|
From Location | Enter the location code or click the list icon to select the location code you are moving the assets FROM |
From Room | Enter the room code or click the list icon to select the room code you are moving the assets FROM |
To Location | Enter the location code or click the list icon to select the location code you are moving the assets TO |
To Room | Enter the room code or click the list icon to select the room code you are moving the assets TO |
When you have entered the information, click Move Assets. You will see a message like this:
Click OK. You will be returned to the Location/Room Setup screen.
Adding a New Room
To add a new room to a location, select the Location at the top of the screen by clicking once to highlight, then click the Add button on the toolbar. The screen will activate for data entry:
The following fields are available on this screen:
Field | Description |
---|---|
Room | Enter the room number or code you are adding |
Description | Enter a brief description of the room you are adding |
Key | If the asset is located in a room that is typically locked, you have the option of tracking the key number |
Hook | If the asset is located in a room that is typically locked, you have the option of tracking the hook number where the key is kept |
When you have finished entering the information, click Save to retain your changes.
